Sending Dispatch Instructions

Dispatch instructions are used to inform fulfillment service providers about pending shipping activities.

Set Up Fulfillment Integration

The connector uses the same shipping function for delivery notifications and dispatch instructions. For integration with fulfillment service providers, there are specific requirements:
  1. A separate warehouse is required for each fulfillment service provider
  2. Each warehouse must be assigned a unique project
  3. Each warehouse must be linked to an address of the fulfillment service provider

Warehouse Configuration

Set up warehouse

Set up a warehouse for each fulfillment provider in Xentral under “Warehouse Management”.

Assign project

Assign each warehouse its own, exclusive project. The project name is the only mandatory field.

Assign address

Assign each warehouse an address of the fulfillment service provider that contains the “ship to GLN”.

Ensure exclusivity

Make sure that only one combination exists for each project/warehouse combination.

Submit project IDs

The project IDs can be found in the URL of the project page. Share these IDs with Procuros.
If the same project is assigned to multiple warehouses, Procuros cannot pick up the correct documents!

Process for Sending Dispatch Instructions

Preparation

Make sure that the shipment has been assigned the correct project and fill out all mandatory fields (customer number, order number).

Approval

The shipment and the associated delivery note must be in the status “approved”.

Transmission

The dispatch instruction will be sent to the fulfillment service provider as soon as all conditions are met.

Confirmation

Share the document number with Procuros and wait for positive feedback from the fulfillment service provider.

Troubleshooting Document Sending

If problems occur when sending documents:
  1. Missing mandatory fields: Check if all required fields are filled out
  2. Incorrect workflow status: Make sure the correct status is set
  3. Missing master data: Check if all necessary master data (GLN, GTIN, etc.) is stored
  4. Incomplete batch information: Check if all batch information is complete
